TeamAccess guide
Everything you need to use TeamAccess day to day. Windows 10 or 11 (64-bit) is required.
1 · Install and join your team
- Download the installer from the home page (or get the file from your administrator) and run it. It installs for your Windows user only, so it does not ask for administrator rights.
- If Windows SmartScreen shows a blue warning, choose More info, then Run anyway. The installer is not code-signed yet, so Windows shows this the first time.
- TeamAccess starts. With a team key built in, it registers this PC with your team's server by itself, which takes a few seconds and only happens once.
- The installer from this website has no team key built in, so the app shows Set up this PC. Paste the invite code your administrator gave you and press Join team. An installer that your administrator built with a team key joins by itself.
The main window shows This desk: the ID of this PC, its name and its status. Copy ID copies the ID. Turn on Start with Windows if the PC should always be reachable, and close the window to keep TeamAccess running in the tray. Use the tray icon to open it or exit.
2 · Connect to a PC
- Under Team PCs, press Connect next to the PC. You can also type its ID under Remote desk.
- The person at that PC sees a request and chooses Accept or Decline. On it they can also tick whether to allow file transfer and copy & paste, and whether you may record the session.
- Once accepted, their screen appears in a window and you can control it. A bar on their screen shows the session for as long as it lasts, with a Disconnect button.
PCs that run without a person
On a PC nobody sits at, the owner can switch on Unattended access for team. Team PCs allowed to see it can then connect without anyone pressing Accept. Two more switches decide whether those sessions may use files and copy & paste, and whether they may record. All three are off until the owner turns them on.
3 · During a session
The bar at the top of the session window has these buttons:
| Voice call / Video call | Rings the other PC. They must accept every call, even on an unattended PC. Video quality follows your connection. |

| Share screen | Shows your own screen to the other person, view-only. A red bar shows while you share. |
| Record | Saves the session as an MP4 in Videos\TeamAccess. It works only if the owner allowed recording, and they see a notice while it runs. |
| Copy & paste | Turns clipboard sharing on or off. Text, pictures and files copied on one PC can be pasted on the other. Available when the owner allowed file transfer. |
| Chat | A private text chat between the two PCs. Each line shows whether it was delivered. Lines are not saved. |
| Files | Opens the file window to browse the other PC and send or receive files. |
| Full screen | Fills your screen with the remote desktop. Press F11 to switch it on or off. |
| Disconnect | Ends the session. Either side can do it at any time. |
The person being helped has the same Chat, Voice call, Video call and Share screen buttons on their bar.
4 · Meetings
Press Meeting ▾ on the main window. It has four choices.
Start a meeting now
Name the meeting and tick the PCs to invite. They get a request on screen and can join with sound, camera and screen sharing. Up to 16 people fit in one meeting. Your meeting shows a code at the top and a Copy link button to invite anyone else.
Schedule a meeting
Choose a name, day, time (24-hour, in your own time zone), length and the people to invite. You can set the host rules in advance with Host controls…. When you press Schedule, the invitation text with the link is copied for you to paste into a message. Everybody invited sees the meeting under My meetings, gets a notice when it is planned and a reminder about five minutes before it starts.
My meetings
Lists the meetings you host or are invited to. You can Join from 15 minutes before the start, Copy invitation, or, as the host, Cancel, which stops the link working.
Join with a link or code
Paste the link, or type the 8-character code. Opening a meeting link in your browser shows a page with an Open in TeamAccess button. TeamAccess always asks before it joins, and you join with your microphone muted. If the host did not invite you, you wait on a waiting screen until they let you in.
In the meeting

Host controls
The host has a Host ▾ menu with Host controls…, Mute everybody, Lower all hands and Record the meeting. Right-click a person's tile to ask them to mute, lower their hand or remove them. Inside Host controls…:
- Use host management turns the limits on. Then you choose whether everybody else may share their screen, send reactions, turn on their microphone, turn on their video and send chat messages. You are never limited yourself. Buttons for things you switch off turn grey for the others.
- The host must join before anybody else tells early arrivals to try again in a moment.
- Meeting access lets invited people join directly, or makes everybody wait until you let them in.
- People with the meeting link or code can ask to join lets outsiders knock. They wait outside, and you see their names with Admit, Deny and Admit all. Switch it off and only invited people can get in.
Choose Leave to leave. The host can also choose End for all.
5 · For administrators
Administrators have an Admin button on the main window. Use ← Back in the Admin window to return.
- Team PCs. Choose a PC, tick the PCs it may see and connect to, then press Save access. Administrators see every PC. Make administrator gives the same power to another PC. Remove PC takes a PC out of the team and ends its access.
- Team keys. A key is built into an installer so that a new PC joins by itself. You choose how many PCs it allows and how long it lasts. A new key is shown only once, so copy it then. Revoke a key if its installer reaches the wrong person. PCs that already joined stay in the team.
- Invite a PC on the main window creates an invite code for a PC whose installer has no team key.
6 · If something is wrong
| A team PC shows Offline | Its TeamAccess is not running, the PC is off or asleep, or it has no internet. Ask the owner to start TeamAccess, or turn on Start with Windows there. |

| No microphone or camera was found | Check that it is plugged in, that Windows privacy settings let desktop apps use it, and that no other app has it open. |
| The video looks soft | The connection is slow, so TeamAccess lowers quality to keep the picture moving. It improves again by itself. |
| "That meeting has not started yet" | You can join from 15 minutes before the start. The message shows the start time. |
| "The host has not joined yet" | The host chose to join first. Try again in a moment. |
